The Executive Assistant to an Assistant
Superintendent performs advanced secretarial tasks by planning, organizing, and
performing the secretarial/clerical operations relating to the Assistant Superintendent's
assigned responsibilities.
Qualifications
Demonstrated responsible
executive-level secretarial experience, preferably in an educational
environment.
Typical
Duties and Responsibilities
1.
Collects,
compiles and digests information pertaining to related administrative or
educational activities;
2.
Prepares
drafts of reports, board agenda items and/or develops procedures to expedite
transmittal of information or to facilitate implementation of policies and
programs;
3.
Answers
correspondence independently;
4.
Arranges
committee and other meetings;
5.
Takes and
transcribes dictation, types minutes, prepares reports, memorandums, records,
documents, and statistical data;
6.
Maintains
files of correspondence, records, and other documents;
7.
Communicates
with district personnel, giving information where judgment, knowledge and
interpretation of policies, procedures, and regulations are necessary;
8.
Prepares
reports of financial and statistical data;
9.
Prepares
reports by finding, assembling, and summarizing information and data; and
10.
Performs
special projects as assigned.
Distinguishing
Characteristics
This classification differs from the next lower
classification in the administrative assistant series by the scope and
diversity of operations of the office and the demanding nature of independent
decision-making required. Typically,
assignments involve confidential Governing Board materials and have
District-wide implications.
The position requires someone who can be a positive
presence in the office and on the phone in light of the multiple tasks which
are inherent to this position. While
responding to public and building calls and emails, there will be daily
paperwork demands which include but are not limited to working with: time sensitive documents, department budget,
district and school policies and procedures, meeting agendas and minutes,
building office support, calendaring of meetings, and travel paperwork. In addition, office and file organization is
critical due to the need for quick information retrieval.
