PTA MEMBERSHIP COMMITTEE
Promote PTA membership to school community; complete necessary report(s) and submit to AZ PTA Office according to their guidelines; keep a current list of members; plan class incentives. Distribute school directories to PTA members.
SCHOOL DIRECTORY COMMITTEE
Create a school directory with names, addresses, phone numbers, and e-mail addresses of families; includes gathering, typing and preparing the directory to be taken to district office for copying. Promote and secure business advertisers.
REFLECTIONS FINE ARTS COMMITTEE
Promote the National PTA art program to children in all grade levels. This program encourages the joys of creativity and art. Encourage participation from students and parents. Establish timeline from start to finish; publicize program and contest to the school community; collect, log, and manage student entries for judging; check all entries against National PTA rules; mount entries for display; completing necessary paperwork to accompany entries being submitted according to guidelines; plan class incentives; plan a final celebration; inform school community of local winners; return student entries.
THURSDAY STAPLES COMMITTEE
Every Thursday information packets (a.k.a. Thursday Staples) are sent home with students. This committee meets every Thursday morning for an hour or so to prepare the Thursday Staples packet that includes information from the school, PTA, and community. Copy, sort and assemble information packets by number of children in each class; also distribute to faculty.
YEARBOOK COMMITTEE
Use your creativity to design photographic collages of DSES students and school events. Be a part of creating a lasting keepsake for our kids. Using pictures taken by committee members, teachers, Lifetouch and families, produce the school yearbook; design class specific and school wide pages according to yearbook company specifications; coordinate the promotion of, order collection and distribution of the yearbooks. Submit necessary paperwork with funds to Treasurer. Most work can be done at home around your schedule!
TALENT SHOW COMMITTEE
The talent show is a kid favorite! Volunteers will organize and plan all aspects of the Talent Show. Children in the 3rd through 6th grades are encouraged to participate. If you love to inspire creativity in kids, this committee is for you!! Plan and organize the talent show, ensure event runs smoothly; coordinate the promotion of this event; create show program; copy programs; decide refreshments and beverages, purchase refreshments and beverages; stage decorating, handling all logistics such as lighting, sound, and room reservations; setting up, working at the event; tear down and clean up; submit necessary paperwork with funds to Treasurer.
DSES T-SHIRTS
Responsible for selling DSES t-shirts to school community. Track inventory and re-order as necessary. Look into other options such as DSES sweatshirts. Receive and verify orders. Deliver t-shirts. Submit necessary paperwork with funds to Treasurer.
CELEBRATE KIDS COMMITTEE
Let's celebrate our kids. Show your support for our children through recognizing each student at some time during the school year. If you love children, this is the job for you!! Last year, each child received a specially chosen book. Develop and implement a program that emphasizes celebrating all children; coordinate and promote how each child will be celebrated; decide what to do for each child; make purchase decisions; organize, plan, and follow through.
HERO BOOK CLUB
Organize and plan this book club that is open to 5th and 6th grade students. Students meet monthly to discuss the book of the month. Books are provided to those join the club. Beginning in September, the Book Club meets monthly until May.
NATIONAL CHILDREN’S BOOK WEEK
Organize and plan events to celebrate reading during this week. Decide activities and plan accordingly. Publicize to school community; collect supplies and prizes; coordinate volunteers. Plan incentives to increase number of kids participating. Recognize children reading. This week provides another way to get kids enthusiastic about reading.
FUN & FIELD DAY COMMITTEE
These events are kid favorites. Mrs. Madrid, our P.E. teacher, coordinates a wide variety of physical activities that encourages kid participation. There are different days to accommodate all the grade levels. 6th graders volunteer their time to make this a success! Responsible for working at different stations as directed; assist children as necessary; ensure event runs smoothly.
TEACHER AND STAFF APPRECIATION COMMITTEE
Show your appreciation to our hard working teachers and staff by coordinating ways to show our appreciation for their efforts. Administrative Professionals Day and National Library Week are in April. Teacher Appreciation Week and School Nurse Day are in May. Plan and host teacher/staff luncheons and breakfasts. This committee can be fun for people who like to be creative. Plan ways to recognize teachers and staff so they know how much they are appreciated; purchase and/or make small gifts; organize, plan, and follow through.
TEACHER DINNERS COMMITTEE
Show your appreciation to our hard working teachers by helping on this committee to prepare and serve dinner to them during conference weeks (2 times a year). Responsible for planning menu, purchasing food and other items, preparing meals, hosting and serving teacher/staff dinners during conferences (2 times a year), Set up and clean up. Submit necessary paperwork with funds to Treasurer. Months: October and January.
CAMPUS IMPROVEMENT
Help to improve our school. The PTA has funds budgeted for school improvements which could include: redecorating the multi-purpose room, purchasing plants and trees, benches, tables, playground equipment, lights, security cameras, and many other possibilities. Other things to consider are new classroom maps and updated reference books. We need your ideas to make things happen!
FAMILY EVENTS COMMITTEE
Family events are always enjoyed by the children and their families and have included Math Night, BINGO Night, Fall Concert / Family Picnic, Carvel Night, Restaurant Nights, and others. These events differ from year to year. We welcome all suggestions and ideas! Responsible for organizing and planning the events; handling all logistics needed; could include entertainment, lighting, security, vendors, raffle, sound system, electrical, coordinating other volunteers; research and price items; purchase needed materials; set up and tear down; publicizing family events to the school community; tasks vary by family event.
FAMILY BINGO NIGHT
Responsible for planning and organizing the event, publicizing, reserving the room, collecting supplies and prizes, coordinating volunteers for event, and setup and cleanup on the night of the event. Decide on food and beverages to be available. Volunteers also needed to help call Bingo numbers and hand out prizes. Both kids and adults enjoy a night of Bingo!
FAMILY MATH NIGHT
Plan and organize the event, publicize, reserve the room, plan games, collect supplies and prizes, coordinate volunteers for event, and setup and cleanup on the night of the event. Assign an event facilitator to announce game rotations and prize winners. This event is a fun evening of math games and prizes.
WEB SITE COMMITTEE
This team will further develop our school web site to make it a great tool for parents to get information about what is going on at Desert Shadows Elementary School. Decide web site content, links, graphics, and other items; collect input from PTA, staff, teachers, and students; obtain approval for information being put on web site; update sections on web site; decide on new things to add to web site; set up and send weekly and special emails using email distribution lists; other tasks as needs arise. Web design and updates can be done at home around your schedule!!
SPRING CARNIVAL PLANNING COMMITTEE
The Carnival is held in conjunction with a Silent Auction. This event gives families the opportunity to come out and enjoy an evening of activities, food, and entertainment. As much fun as it is, this event is also one of our major fundraisers. This event cannot happen without strong support of volunteers. Each class is in charge of coordinating parent volunteers to cover a booth or activity. Classes create a basket for the auction.
Responsible for planning and organizing the carnival, handling all logistics; including researching and pricing ideas; organize rides and entertainment; purchasing materials and prizes; selling tickets; publicizing and running the event; planning games and activities; staffing rides and booths, set up, tear down, and clean up. Event Day Volunteers work an hour or two monitoring a game, an activity, working a food booth, or set up / tear down. The carnival requires high community involvement to ensure the event runs smoothly and safely.
FALL FESTIVAL COMMITTEE
The Festival is held in conjunction with a Silent Auction. This event gives families the opportunity to come out and enjoy an evening of activities, food, and entertainment. This event needs a strong support of volunteers. Responsible for planning and organizing the festival, handling all logistics; including researching and pricing ideas; organize entertainment; purchasing supplies; publicizing and running the event; planning activities; determining volunteer needs, set up, tear down, and clean up.
SCHOLASTIC BOOK FAIR
This week long event promotes and encourages literacy while raising funds for the school. Elementary school is the perfect time to enhance kids' interest in books setting the tone for their reading future. The Book Sale is open for one week during school hours and for one evening during Literacy Night. With the help of students, teachers, parents, and volunteers, the shop can be very successful. This program offers students an exciting experience to shop for moderately priced books and products in a safe and friendly atmosphere. If you love to read and help kids pick out books, this is the job for you!!
Responsible for coordinating the promotion of this event; organizing and working at the book fair which may include decorating, setting up, helping with class previews, teacher preview day, helping the children with their purchases, sales, working book fair hours, tear down and clean up. Submit necessary paperwork with funds to Treasurer. Sales shifts are usually several hours each.
FUNDRAISING COMMITTEE
If you are interested in raising money that will benefit our school, this committee is for you! Committee members will be involved with various fundraising programs and activities throughout the school year. Fundraising events include: family fun entertainment book, wrapping paper and specialty catalog, gift card sales, Harkins Theatre, and possibly others. Develop plan for the specific fundraising event; develop a master schedule of important dates; prepare promotional materials and publicize to school community; plan kickoff activities; plan class incentives; collect and organize orders, submit checks and money to Treasurer for deposit; deliver orders to classrooms; problem solve. Work on specific fundraisers as your time and schedule permits. Much of the work can be done at home.
SAVINGS PROGRAMS
BOX TOPS, FRY'S, TARGET, SAFEWAY, CAMPBELL’S LABELS, INK CARTRIDGE RECYCLE, GIFT CARD SALES
Share information with school community about retail programs that provide funds to the school from qualifying purchases. One of the primary savings program is the box top program. Others include: Campbell’s labels, Fry's, Target, Safeway, and Washington Mutual. Purchasing gift cards from over a hundred retailers also provides DSES the opportunity to earn money for our school. These programs are an easy way for you to help make a difference in our school by doing things you do everyday.
Responsible for sending information out to school community about different opportunities; distributing information on how each program works and what products are included; collecting, processing, and submitting required documentation and reports as required by each company; planning and organizing class incentives. Research new programs and make recommendations for those to be introduced at DSES. Submit necessary paperwork to Treasurer. Most of the work can be done at home around your schedule!!
SILENT AUCTION & RAFFLE
This group of volunteers will organize and plan all aspects of the Silent Auction and Raffle. This is planned in conjunction with the Spring Carnival. Please plan on joining this major fundraising effort!!
Responsible for organizing and planning all aspects of the Silent Auctions and Raffles; sell raffle tickets; publicizing to the school community, preparing auction brochure or such, decorating, set up, running the event, tracking sales and receiving payments, coordinating volunteers, tear down, and clean up. Deliver unclaimed prizes and items. Submit necessary paperwork with funds to Treasurer.
LOVED BOOK SALE
This loved book sale offers the opportunity to increase your home library. Books are collected from families, friends, and families. Committee responsibilities include: decide and implement class incentives, publicize event, set up drop boxes for donated items, collecting books and other items, prepare room, secure volunteers for event. Volunteers will also help collect, sort, and price all the books. Families are asked to donate books (both children's and adult), CDs, videotapes, and software. Recycle your gently used books, videos and movies while helping raise literacy funds for our school.
CALENDAR
Responsible for creating a school calendar that includes district, school, and PTA event dates; select artwork; prepare document to be taken to district office for copying; update on monthly basis for website.
BUSINESS DONATIONS COMMITTEE
This will take a core group of dedicated and enthusiastic parents willing to work with members of our community and solicit donations from businesses. Responsible for contacting companies to secure donations for spring auction and raffle; follow up and secure donations; pick up items if necessary; write thank you letters and provide PTA tax information; create log with contact information of companies that donated, as well as potential new business donors. Determine other needs throughout school year.
UNITED PARENT COUNCIL
Attend monthly UPC meetings (3rd Wed of month at 9am) or arrange for an alternate to attend. Communicate UPC information to the DSES Community -- give reports to DSES PTA and/or school newsletter. Bring DSES information to UPC. Become informed on issues so you can vote on behalf of your school when necessary. Representatives and their alternates act as a link between UPC and their school communities. Each PVUSD school is allowed two voting representatives on the Council and two alternates.
ROOM PARENT LIAISON
Responsible for communicating PTA information to room parents; provide feedback to board; provide suggestions on how to increase class involvement for special PTA events. Work with room parents on class baskets for spring silent auction. Schedule parent volunteers for class booths at spring carnival. Work with room parents on teacher appreciation week. Plan and run room parent meetings in August/September and January.
VOLUNTEER COORDINATORS
Help various committees contact and organize volunteers (list of contacts provided). Focus on creating enthusiasm to encourage people to volunteer.
WELLNESS
Increase awareness of student wellness. This committee will be an open forum for any wellness issue that is of concern within our school community. To be a place of communication about health and wellness related issues that concern our school. Dedicated to helping children feel positively empowered about choosing a healthier lifestyle. The members of this committee will also assist in the planning and maintenance of the school garden.
NOMINATING COMMITTEE
Find and nominate PTA officers for the next year. This committee begins in January or February to make nominations prior to PTA Board elections usually held in March. Need chairperson and 3 additional volunteers.
NEWSLETTER
Responsible for creating a quarterly school newsletter using submitted information from the principal, school office, teachers, PTA and other sources.
